Pay: $23-$26 an hr | Bi-weekly

- Onsite in Morristown NJ 07960

Executive Assistant Overview:
- We are seeking a highly experienced and strategic Executive Assistant to support the Office of the President & Chief Executive Officer. This role serves as the primary point of contact for internal and external stakeholders on all matters related to the Office. The ideal candidate thrives in a mission-focused, results-driven, and community-oriented environment and demonstrates exceptional judgment, discretion, and emotional intelligence.
This individual will manage complex priorities, handle sensitive information with the utmost confidentiality, and serve as a key liaison between executive leadership, board members, community partners, and internal departments.
Key Responsibilities
Executive & Administrative Support
- Manage an active and ever-changing executive calendar.
- Prepare and process expense reports.
- Draft, distribute, and maintain confidential correspondence and documentation.
- Coordinate detailed domestic and international travel, including comprehensive itineraries.
- Organize internal and external meetings and events.
- Support community and partner outreach initiatives.
Board & Leadership Support
- Prepare PowerPoint presentations, Excel spreadsheets, reports, agendas, and meeting minutes for Board and Board Committee meetings.
- Support ad hoc projects with organizational impact.
- Process regulatory state and national requirements as needed.
Project Coordination & Research
- Coordinate projects with strong execution focus and stakeholder sensitivity.
- Conduct research, collect and analyze data, and prepare executive briefings.
- Track, prioritize, and follow up on sensitive and confidential issues addressed to the Office.
- Follow up on executive contacts and support relationship cultivation.
Strategic Communication & Organizational Insight
- Serve as a bridge between the Office and internal departments to ensure seamless communication.
- Maintain credibility and trust with system, community, and foundation boards.
- Act as a barometer for workplace dynamics, proactively identifying issues and recommending thoughtful solutions.
- Ensure timely, proactive, and thorough completion of projects under tight deadlines.
Executive Assistant Qualifications:
- Experience
- Minimum of 10 years of experience supporting C-level executives in large, complex organizations.
Education
- Bachelor’s degree required.
- Master’s degree preferred.
Technical Proficiency
- Advanced proficiency in Microsoft Outlook, OneDrive, Teams, Word, Excel, and PowerPoint.
- Experience with Adobe Acrobat, social media platforms, and BoardEffect portal.
