Title: Executive Assistant

Location: New York, NY – Midtown

Schedule: Mon – Fri, 9:00AM – 5:00PM EST

We are seeking an Executive Receptionist to work on the executive floor, providing supplemental support and reporting to the Executive Assistant to the President & CEO, as well as an additional resources for other senior executive assistants supporting executive leadership. The ideal candidate will be someone with both the skills and attention-to-detail required to effectively support senior executives, as well as serve as a representative of our organization.

Job Responsibilities:
  • Coordinating executive communication, including taking calls and interfacing with other executives, employees, and guests
  • Supporting occasional logistical preparation for meetings with senior executives and other guests, including reserving space, setting up telephone and video conferencing systems, scheduling catering (if required), and registering and greeting visitors
  • Fielding inbound communications and exercising judgement in determining the appropriate resource to address requests
  • Understanding company policies and procedures, written and unwritten, to ensure appropriate decision-making protocols are followed
  • Liaising with other senior administrative assistants in the office to ensure executive teams are supported
  • Handling facilities-related requests, including basic maintenance, cleaning, copier repairs, etc.
Job Qualifications:
  • A minimum of 2 years of Administrative Assistant/Secretarial Support experience
  • Strong Microsoft Office skills, including Outlook, Word, and Excel; experience with Microsoft Teams and Zoom
  • Ability to communicate clearly and effectively, including with members of senior management
  • Friendly, neat, and professional demeanor, including strong interpersonal communication skills
  • Reliable and punctual work ethic
  • A minimum of a High School Diploma or GED required; Bachelor’s Degree preferred
