Pre-Services Coordinator Highlights

• The pay for this position is $21.00-$23.00 per hour.
• Monday-Friday 8:30am-5:00pm
• Onsite position
• This position is a temporary contract.

Responsibilities

• Answer incoming calls and assess patient needs through appropriate questioning.
• Schedule new patient appointments with the correct provider, ensuring availability and proper coordination.
• Provide patients with detailed appointment information, including time, location, directions, and any necessary instructions.
• Record call statistics in the New Patient Log for tracking purposes.
• Maintain and update physician schedules to ensure proper patient scheduling.
• Collaborate with triage nurses to accommodate scheduling requests and adjust as necessary.
• Collect patient demographic, insurance, and other required information prior to visits.
• Enter patient information into computer systems accurately and efficiently.
• Verify patient insurance eligibility, benefits, co-pays, and pre-authorizations with payers before patient visits.
• Mail or email relevant medical forms to patients for completion prior to their first visit.
• Follow up proactively with patients regarding missing or outdated insurance information and request copies of medical records or test results from other providers.
• Train new Patient Services Coordinators on office policies and procedures.
• Review co-workers' work and provide guidance to ensure consistency and adherence to procedures.
• Research, resolve, or direct escalated issues to the appropriate personnel.
• Identify and recommend process and procedure improvements to increase efficiency.
• Always ensure the strictest confidentiality of patient information, in accordance with HIPAA guidelines and regulations.
• Perform other duties as requested or assigned.

Requirements

• High school diploma or equivalent required.
• At least one (1) year of patient pre-services coordinator experience required.
• Familiarity with the practice’s personnel, daily routines, and scheduling is a plus.
• Proficiency with computer systems and Microsoft Office Suite (Outlook, Word, Excel) required.
• Must complete required e-learning courses within 90 days of occupying the position.
• Demonstrated adaptability and the ability to handle day-to-day challenges confidently.
• Willingness to adjust to shifting priorities and demands while demonstrating flexibility.
• Strong work commitment, with the ability to set high standards and work efficiently toward achieving them.
• A commitment to quality service and the ability to consistently deliver high standards.
