Position Type: Temporary-to-Permanent (opportunity to extend and/or convert to a permanent position based on business needs and performance)
Position Overview
The Care Coordinator is responsible for supporting patients, providers, and referral sources by facilitating access to specialty therapies and healthcare services. This role requires excellent customer service skills, attention to detail, strong communication abilities, and the capacity to manage multiple patient accounts while ensuring a positive and supportive patient experience.
Key Responsibilities
- Handle inbound and outbound calls while identifying customer needs and providing first-call resolution whenever possible.
- Report adverse events within required timeframes.
- Create, process, and maintain accurate referrals and applications.
- Stay informed on policy, procedural, and process changes.
- Investigate and resolve patient and physician inquiries in a timely manner.
- Accurately enter detailed information into proprietary software systems while actively speaking with callers.
- Conduct outbound calls for patient follow-ups, confirmations, and account updates.
- Deliver exceptional customer service and patient support.
- Communicate with referral sources to process new patient applications.
- Manage patient accounts from initial contact through final approval or denial.
- Prioritize multiple assignments and meet deadlines in a fast-paced environment.
- Provide empathetic support and education to patients while effectively guiding conversations and explaining available resources and processes.
- Maintain quality standards and compliance requirements throughout all interactions.
Required Qualifications
Education: High School Diploma, GED, or equivalent work experience.
Language Requirement: Fluent in both Spanish and English.
Experience: 1–3 years of related experience preferred.
Customer Service Experience: Previous customer service experience preferred.
Call Center Knowledge: Understanding of practices and procedures commonly used in a call center or customer service environment preferred.
Healthcare Knowledge: Knowledge of Medicare, Medicaid, and Commercial payer policies and coverage guidelines preferred.
Medical Expense Knowledge: Familiarity with Diagnostic Medical Expense and Medicare Administrative Contractor practices preferred.
Insurance Knowledge: Understanding of medical, supplemental, and pharmacy insurance benefit practices preferred.
Training Information
Training Schedule: 8:00 AM – 5:00 PM CST
Training Requirement: Mandatory on-camera attendance throughout training.
Work Schedule Hours: Full-time, 40 hours per week.
Availability Requirement: Must be flexible to work any assigned shift during normal business hours.
Business Hours: Monday through Friday, 7:00 AM – 8:00 PM CST.
Remote Work Requirements
Work Environment: Dedicated, quiet, private, and distraction-free workspace required.
Equipment: Company-provided computer, technology, and equipment supplied.
Internet Requirement: Employee is responsible for maintaining qualifying high-speed internet service.
